Facility Guidelines

Here are some guidelines for selecting a suitable space for your art auction,
along with a basic floor plan:

1. Ideally, the auction should be held in one room large enough to
accommodate:
a) 20-25 rectangular banquet tables, arranged along the perimeter of the
room, which will be used to display art.  These include a cashiers table,
registration table, and refreshment table.  Tablecloths are suggested for a
nicer look.
b)  Theater-style seating for 100 to 150 persons.
c)  Your refreshments, bar, etc.

NOTE: These items should be set up before Azalea's personnel arrive for the
art set up.  Usually a room that is about 2600 to 3000 square feet is
adequate.  Avoid historical-type homes where you would have to use several
rooms to accommodate the auction.

2. Choose a location that is close to your members and has adequate parking
available.

SOME SUGGESTIONS: Hotel ballroom, banquet hall, church hall, community
center, country club, Temple social hall, lodge, Officers' club, school
gymnasium/cafeteria, etc.

3. We will need a public address system, a podium for the auctioneer to stand
behind, and an adding machine with tape.  We will provide some spotlights for
the art, but let us know if the room is poorly lit so we can bring extra
lighting (see  Auction Information Form).

4. It is essential that we have at least three male helpers, 16 years of age
or older, to:
a)  Unload the truck and set up the art during the set up period.
b)  Help with the art during the preview and auction.
c)  Reload the art after the auction (see NOTE below).
d)  Work the second day sale and reload the art after the sale. (When
applicable. See NOTE below.)

NOTE: In case of a second day sale, we will need these helpers during the
sale and afterward to reload.  In this instance, it is usually unnecessary to
reload the art the night of the auction, as it is typically left in the room
overnight.  

5. Additional vouchers required:
3-4 adults to cashier the auction 
2-3 people for the registration table
